Reception/Administrative Assistant


Job Overview:
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. As an Administrative Assistant, you will play a crucial role in ensuring the smooth operation of our office. Your responsibilities will include providing administrative support, managing front desk operations, and assisting with various clerical tasks.

  • Greet and assist clients, visitors and staff in a professional and friendly manner
  • Answer phone calls, take messages, and direct inquiries to the appropriate person
  • Schedule appointments and maintain calendars for staff members
  • Perform general clerical duties such as filing, photocopying, and data entry
  • Manage incoming and outgoing mail and packages
  • Assist with inventory management and ordering office supplies
  • Coordinate travel arrangements for staff members when necessary
  • Assist with basic client billing tasks
  • Maintain confidentiality of sensitive information
  • Other position-related duties as assigned
  • Two (2) years previous experience as an administrative assistant or in a similar role is required
  • Strong organizational skills with the ability to prioritize tasks effectively
  • Proficient in using phone systems and computerized systems
  • Proficiency with MS Office applications (Word, Excel, Outlook, OneNote)
  • Excellent verbal and written communication skills
  • Ability to work independently with minimal supervision
  • Strong attention to detail and accuracy in all work
  • Experience with WSIB and VAC billing preferred
  • Basic knowledge of the Jane app for client booking/tracking is desirable

    Candidates will be required to show that they are highly conscientious and can provide excellent in-person customer service skills in a highly confidential environment. They must possess a strong appreciation for the critically important work done by our first responder and veteran clientele. Candidates will be required to provide evidence of the above qualifications and skills. They will also be required to demonstrate that they are able to take daily initiative to help improve our services to our clients.
